What's New?

We've redesigned WebExpenses to give our users an improved experience as they create and submit their expenses claims. We've also added significant new features, as outlined below. The initial feedback from users has been extremely positive and we welcome further feedback from users, both positive and negative.

1. New and improved user interface

We've improved the user interface to let users quickly and easily manage the process of entering and submitting expense claims. For example, we've moved tabs from the side to the top and streamlined the fields used to enter expenses. 

2. Receipt attachments

Our receipt attachments functionality allows users to attach files of almost any format to support an expense claim. It’s easy to attach a scanned image or a digital photograph of receipts. In most cases, a user can even use the camera on a mobile phone to create receipt images. The image below is an example of a photo of receipts from a mobile phone, which can be zoomed as appropriate until legible.

File formats supported include html emails (perhaps received from an airline by way of confirmation of a ticket purchase), invoices in PDF format, Microsoft Excel and Word documents, as well as jpegs and other common image formats.

3. Point-of-entry policy reminders

We've added additonal policy reminders at the point of entry to ensure that there can be no doubts about what is allowable and what is not. This is an important feature that our testing indicates leads directly to reductions in travel and entertainment spending: No longer can a claimant claim ignorance of the policy rules.

4. Category and age limits

We've added additional rules to reflect limits on spend by category and 'age' limits to reflect organisational rules on the age of acceptable expense items. 

5. Invoice processing

Our Invoice Processing solution has been developed in conjunction with a top tier accounting firm and automates the tedious process of capturing, submitting and paying supplier invoices. It makes use of the WebExpenses workflow and like WebExpenses it is web-based, quick-to-implement and easy-to-use.
