Inspirations Paint, Australia’s largest paint-supply specialist franchisor has 110 franchise stores which employ around 450 staff across the country.

The paint supply specialist introduced Webexpenses in 2017 and saw immediate improvements in the managing of their expenses.

Inspirations Paint CFO Gary Jeston FCPA explains why they made the switch to an automated expense management system like Webexpenses, and what benefits it has brought to the business so far.

Previously at Inspirations Paint, the monthly task of sorting through staff expenses took at least three days, with Webexpenses, the job is completed in just a day.

Saves time and money

Finance teams will see an instant change in how little time it takes to manage the expenses process through Webexpenses’ system. Money is also saved for the business – out of policy claims will be flagged and users will spend less time claiming and approving expenses and more time doing their day-to-day jobs. Jetson said:

Webexpenses is less labour-intensive than our old system and saves time for everyone involved. In the past, we had some people putting through claims that they shouldn’t have. Now we’re using, Webexpenses, the workflow is controlled, I’m now the first-line approver and run my eye over everything. I’ve picked up some things that we shouldn’t have been allowing and we’ve changed our expense policy as a result. It’s already yielded returns.

There’s no need to chase on receipts or manually attach them to claim forms or spreadsheets, users simply email receipts through, or upload them via the Webexpenses mobile app and as Inspirations Paint CEO stated:

As it’s cloud-based software, users can view their account on any device at any time. They can also see on the dashboard whether they’ve been reimbursed; they don’t have to log into their bank account to check. Our users can also claim using the mobile app – they can take photos of receipts when they’re sitting on a plane or anywhere else that doesn’t have an internet connection. The Webexpenses mobile app stores the image then uploads it once you’re back online. There are no more excuses for lost receipts!

Customised and real-time reports

Finance teams have visibility of expenses claimed throughout the business, they can run customisable reports and real-time view. “The problem we had previously was that we didn’t have visibility of the expenses people were claiming without doing analysis, with Webexpenses, we can see the line-level data as it comes through,” stated Jeston.

After only a few months of using Webexpenses, Inspirations Paint is already seeing huge benefits from automating their expense process.
