What was the process for managing expenses before Webexpenses?
Our old process for expenses was very admin heavy. A spreadsheet would arrive with finance and the majority of the time, there were lots of errors that would need to be corrected.
What ultimately made you start to look for an expense solution?
We were keen to find a system that saved our claimants but also our finance team, time. Our business had expanded and more people were putting through expenses, we needed a new process that could handle our business growth.
I had also used Webexpenses at a previous business (IOP Publishing) - I loved it and had confidence with the system.
How was your Webexpenses sales consultant’s approach?
We requested a face-to-meeting with Webexpenses to see a system demonstration and to meet with our sales consultant.
Jamie who we met with from Webexpenses for the demonstration and full sales process was great, he was confident with the system, clearly passionate about the product and completely understood what we needed. As a sales consultant, he ticked all our boxes with a full approach to this project.
How was the implementation of Webexpenses?
The implementation process was good, we initially pilot-tested with a small group - it covered different stages which included mileage, mobile app testing, reporting, claim building and approving, plus many more areas. This went extremely well and we decided to ‘go live’ with Webexpenses a month ahead of the planned date that was originally put forward.
The group especially liked the mobile app with being to take photos of receipts there and then, and building a claim straight away, or saving it to do later.
How have you found the customer service support from Webexpenses?
For when we’ve needed to contact the Webexpenses customer service team, they’ve been very responsive and great to liaise with.
Which key benefits have Webexpenses brought so far?
Reporting is extremely beneficial to The Workforce Development Trust, I’m able to report via cost centres, send the details onto payroll for payment - this type of reporting would not have been manageable with the manual process.
I’ve now used Webexpenses in two businesses, I’m really impressed with the system!
