Global marketing company finds fast, effective expense solution

The success of Konica Minolta Marketing Services (KMMS) is built on the company’s ability to deliver simple and effective solutions to their global clients.

Combining the strength of three businesses, KMMS is able to manage the entire marketing and branding journey, from the creative process, through to procurement and delivery.

The company’s commitment to delivering simple and effective solutions also helped to guide their search for a smarter way to manage the expenses for their team of frequent travellers.

With offices across the world, they wanted to move from a manual approach to an automated system to streamline and improve the expense management process.

The solution was Webexpenses.

Simple, sustainable and streamlined expense management

Webexpenses provides a fully paperless process which unlocks all the benefits of real-time data, task automation and policy checks.

The system combines a smartphone app and advanced OCR (Optical Character Recognition) scanning to allow paper receipts to be instantly converted into a digital format.

Mahalakshmi(ML) Dsouza, APAC Finance Director, identifies some of the key benefits:

“Webexpenses has allowed us to consolidate the expense management process within global shared services and saved time for individual finance folk processing claims for their respective locations. Avoiding paper and stickies is another plus for sustainability. It has also forced us to rethink and continuously evolve our internal processes on expense management.”

Benefits for managers and claimants

The benefits of an automated approach are delivered to both claimants and account managers. It removes the need for spreadsheets to be manually updated or bundles of paper receipts to be processed.

Vivien Cox, Operations Director APAC, shared her experiences:

“I travel extensively and the flexibility to manage my expenses ‘on the run’ means I don’t spend hours when I return collating and submitting my claim. As a major approver of expense claims, it is very simple to review and validate claims, including adding notes or comments regarding specific items within the claim.”

The system allows the use of automated email reminders to ensure that approvers don’t miss any claims that are waiting to be reviewed.

Working with the world’s leading brands

The strength of KMMS comes from combining the qualities of three successful businesses. This began with the parent company, Konica Minolta, acquiring, Charterhouse, which had nearly 50 years experience in print and marketing.

This was added to with the acquisitions of Ergo, producers of world-leading marketing automation technology, and Indica, a communications agency with decades of experience.

It’s this combined knowledge and expertise that allows KMMS to deliver such a comprehensive marketing service. They offer three core solutions – communications agency, creative production and multi-channel delivery.

The continued effectiveness of this approach sees them working with some of the world’s leading brands. The company’s clients include the likes of Unilever, Nestle, BMW, Heineken and Rolls Royce.

We also recently had the chance to talk to KMMS’ APAC Finance and Operations director about how they’ve been finding us. You can read the full case study and what they had to say here.
